Procedure to be followed

  • Inform the concerned Police station/officials of that country
  • Inform the Embassy of Nepal in Tokyo and the family members in Nepal through a letter about the death
  • In case of death involving accident, letter from Police Office of Japan confirming that the investigation process has been taken, compensation/dues to be paid to the next of kin.
  • Receive Police Report (copy) about the death/accident
  • Receive death certificate and medical /post mortem report, Cremation Certificate (if funeral process is done in Japan) from concerned local authority of Japan.
  • Send a letter to the Embassy stating about the remaining salary, other benefits or legitimate dues or and when the dues will be paid to the next of kin of deceased.
  • Inform the insurance company for compensation as per the existing/applicable labour laws of the Japan.
  • Submit the ATTESTED Original Copies of death certificate, medical report/post-mortem report, Cremation Certificate and police report to the Embassy for further attestation. All the documents issued from the concerned authorities of Japan and are going to submitted to the Embassy of Nepal, Tokyo are required to be attested from Consular Affairs Bureau, Ministry of Foreign Affairs. If the documents are in other than English language, English translation is also required)
  • Receive No Objection Certificate from the Embassy upon receipt of the above mentioned documents and this Certificate necessary to send the dead body to Nepal and the original should be attached to the documents that go with the dead body.
  • As the airliners agree to ship/transport the dead body only after receiving the written consent from the Next of Kin of the deceased, suggest the family to contact airliner"s office (carrier) in Nepal to give their consent to receive the body upon arrival in Kathmandu. The Embassy may be able to coordinate on this matter if the company finds it difficult to contact the relatives in Nepal or get their approval.
  • Arrange to send the legitimate dues or compensation amount to the Next of kin whether in the country or in Nepal through banking channel. In case, it is not practicable to send the money through banking channel on time, inform the same to the Embassy in writing and thereafter arrange to deposit the money in the name of “Embassy of Nepal” Tokyo, or other designated person by the Embassy or relatives in order to send dues to the legal heirs of the deceased in Nepal
  • Submit all documents to the air cargo with family address, contact and dead body receiving confirmation by the family in Nepal
  • Original Passport of the deceased to be submitted at the Embassy for cancellation before sending it with the dead body and Letter of Will and Passport copy of the person, if if applicable, who will accompany the dead body.

Necessary Documents:

  • Duly filled Application addressed to the Embassy of Nepal, Tokyo
  • Affidavit or written consent from the Next of Kin of the deceased
  • Documents issued from the concerned authorities of Japan (Death Certificate, Police Certificate, Hospital Report, Postmortem Report, No infection certificate-If applicable, Cremation Certificate-if funeral services is done in Japan)
  • Original Passport, Zairyu Card and Copy of Nepali Nagarikta of deceased person.
